Registration

We have an online registration system operated by TAVI Congress Bureau. All reservations (incl. social programme and accommodation) should be made on the same registration form, also the program that is included in the delegate fee. Registration fees

*Travel, accommodation and insurances costs are not included in the fees.

The Participant fee includes all scientific programme, abstract book, proceedings, coffees and lunches during the Conference, Welcome reception, Sea cruise, Conference dinner and registration and information desk service on site.
Please note that for students the proceedings book is not included.

The Accompanying person fee includes Welcome reception, Sea cruise, Conference dinner , separate social programme for accompanying persons and registration and information desk service on site.

Optional social programme (not included in the fee):

Pre-conference hike, Sunday 30 June
Nuuksio national park close to Helsinki Costs 10 EUR covers the bus tickets from Helsinki and a coffee break with snacks.

Sauna Evening, Tuesday 2 July
Traditional Finnish sauna (separate saunas available for men and women). The price - 50 EUR - includes transportation, the sauna fee, a “vihta” (a twenty-inch bouguet of fresh birch branches), towels, dinner and drinks.

Confirmation of participation

TAVI Congress Bureau will confirm the participation upon receiving the registration and payments. No participation confirmation letters will be sent before all the payments (including eventual social program) have been received.

Visa information

If you need to apply for a visa to enter Finland in order to participate in the conference REI-17, the Visa application to the Finnish Embassy can be supplemented by the official confirmation of the payment of the registration fee. This confirmation is accepted as a valid document for visa application according to the instructions by the Ministry of Foreign Affairs of Finland.
No additional document such as an letter of invitation is required.
The organizing committee can provide the official acknowledgement of your participation if it is required by the local administration of your institution.



Accommodation

Quotas of rooms in different rate categories have been booked at attractive rates in Sokos Hotel Helsinki, Hotel Cumulus Kaisaniemi, Hotel Arthur and Eurohostel.

Hotel/Hostel reservations are to be made via the online registration form (operated by TAVI Congress Bureau) in order to benefit from the special rates.

All prices are per room per night, including breakfast and VAT.

Hotel deposit

To guarantee your hotel reservation, a deposit of one night’s room rate is required in advance together with the registration fee. The deposit will be forwarded to the hotel and will be deducted from your final hotel bill when you check out. If you have to cancel your reservation, see the cancellation and refund policy. Sokos Hotel Helsinki

Address: Kluuvikatu 8 (Internet in rooms, free of charge)
Modern and cosy Sokos Hotel Helsinki is located in the pulsating heart of Helsinki. 5 minute walking distance from the Congress Venue. This is a non-smoking hotel.

Cumulus Kaisaniemi

Cumulus Kaisaniemi is a cosy hotel, located in the heart of Helsinki near the Railway station. The main sights and the biggest department stores are just a walking distance away. 10 minutes walking distance from the Congress Venue.

Hotel Arthur

Address: Vuorikatu 19 (Internet in rooms, free of charge)
Hotel is located close to the railway station in the very heart of Helsinki. The main sights and biggest department stores are within walking distance. This is a non-smoking hotel. 10 minutes walking distance from the Congress Venue.

Eurohostel

Address: Linnankatu 9 (Internet in rooms exists for a charge)
Eurohostel provides comfortable accommodation ideal for budget-conscious travellers. WC / showers are situated on the corridor for shared use. There is also a restaurant at the hostel. Tram connection to congress venue, tram number 4, duration approx. 10 minutes.

Payment and Cancellation policy

All payments (registration fee and social programme) should be made in advance in euros (EUR) in connection with the registration. When registering online, you will receive instant confirmation of successful registration to your email.

Payment options:

● By credit card: Visa, Visa Electron, MasterCard and Eurocard are accepted.
● By bank transfer to the conference account.

Please use the participant’s reference number when making the bank transfer. The reference number will be shown on the automatic reply that you will receive after submitting the registration form online. Payment by bank transfer is to be settled within two weeks of registration. After June 14, registration is only possible by credit card payment, which will be dealt with automatically.

Note

● all payments should be made free of banking charges
● bank drafts as well as personal, traveller’s or company cheques cannot be accepted
● an invoice will be sent by request only, in which case a supplement of 11 € will be added.
● kindly mark the details (exact invoicing address and reference) for your invoice request in the ‘Other Special Information’ field on the online registration form. Please note, that if a new invoice needs to be issued due to incorrect or insufficient invoicing details given in the registration, the invoicing charge will be charged for each invoice separately.

Cancellation and refund policy

Kindly note that all cancellations and/or changes to registration and social programme must be made in writing to TAVI Congress Bureau by e-mail: rei17[at]tavicon.fi or by fax: +358 3 233 0444.

If a cancellation for the registration, social programme with extra fee and/or hotel reservation is received by 30 April 2013, the registration fee will be refunded with the exception of a handling fee of EUR 50, and the hotel deposit will be refunded minus a EUR 20 handling fee. No refunds can be made for cancellations received after 30 April 2013. Please note, that no show does not constitute cancellation.

In a case of no-show, there will be no refund of the registration fee. There is no extra fee if a registration is transferred to a colleague from the same organization.
